We are seeking a highly organized and detail-oriented Property Administrator with a strong real estate background to support leasing operations, listing management, and day-to-day property administration. This role combines operational coordination, listing oversight, and tenant communication, with AppFolio as the central system driving all workflows.
This position is ideal for someone who is both process-driven and customer-focused, and can manage multiple properties, listings, and timelines with accuracy and efficiency.
Key Responsibilities:
Listing & Leasing Administration:
• Set up new units and property data in AppFolio, including pricing, availability, and property details
• Upload photos/media and publish listings across platforms (Zillow, Apartments.com, etc.)
• Ensure all listings are accurate, updated, and optimized
• Track leads, applications, screening status, and lease progression
• Support the leasing process from inquiry through signed lease
Scheduling & Coordination:
• Maintain and manage the shared showing calendar
• Coordinate showings, virtual tours, and appointments
• Prepare and manage virtual content for listings
• Communicate scheduling updates with agents, tenants, and internal teams
Tenant & Communication Support:
• Respond to inquiries from prospective tenants in a timely and professional manner
• Provide accurate information about listings, availability, and application steps
• Maintain consistent communication throughout the leasing process
• Ensure a positive and professional tenant experience
Reporting & Data Management:
• Generate weekly reports on listing performance, lead sources, and leasing activity
• Maintain accurate records of listings, applications, and tenant data
• Ensure all information in AppFolio is up to date and properly documented
General Property Administration:
• Assist with lease documentation, renewals, and move-in/move-out coordination
• Support compliance with Fair Housing regulations and tenant screening processes
• Coordinate with internal teams to ensure smooth property operations
Required Qualifications
• 2–4 years of experience in real estate, leasing, or property management
• Proficiency in AppFolio
• Strong understanding of leasing workflows and listing management
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to manage multiple listings and priorities
• Basic understanding of property-related financial tracking (rent, applications, etc.)
