Full Time. 9:00AM - 5:00PM, Monday - Friday

Job Summary: Fast paced office environment. Office Administrative Assistant position responsible for assisting with any and all administrative tasks throughout the day in all departments including bookkeeping. Answering phones, managing service calls, bank reconciliations, etc.
Will train the right person.

Ability to communicate effectively with all calling parties.
Ability to use standard office equipment, PC and demonstrate proficiency in Outlook, MS office and data base management systems.
Strong typing skills required. Must type 40 wpm.
Strong knowledge of Word, Excel and Outlook required.
Ability to be self-directing.
Light to medium lifting boxes of files/reports/office products, etc.
Must be able to read, write, speak and comprehend English.

Job Description:

Answer phones and manage customer requests.
Must have an exceptional pleasant phone manner and greeting manner.
Meet, greet and screen walk-in persons.
Help maintain communication with homeowners and board of directors.
Respond to homeowner needs and requests.
Contact and coordinate community maintenance.
Schedule and help prepare for board meetings.
Bank Reconciliations, write up deposits, compile reports for audits, reimbursement reports, etc.
Monitor heavy emails and heavy telephone volume.
Maintain vendor work orders, invoices and follow up.
Heavy typing, letters, mailers, filing (including maintaining the files).
Maintain and create reports.
Coordinate Tenant move in / move outs, parking decal assignments, clubhouse usage, etc.
Strong follow up and organizational ability required.
Assist in all departments of the company.
Maintain office equipment and supplies.
Checking expired certifications.
Heavy Scanning - maintain files, light to medium lifting boxes of files/reports/office products, etc.
Must be a team player, able to take direction and able to work independently.
Must be punctual-A MUST.

Skills: Good communication skills. Ability to read, comprehend, speak and write English. Must be able to positively interact with others, over the phone, in person and with fellow co-workers.

Abilities: Ability to maintain regular and punctual attendance. Ability to work with most personality types. Ability to work with integrity and honesty. Must be pleasant in the work environment.

Work Devices: All office equipment (copier, computer, fax machine, scanner, telephone, remotes etc.)

Relationships: Interacts with community agencies, professionals, business community and the general public. Non-smoker preferred.
