Divorce Logic LLC is seeking a highly organized and detail-oriented Administrative Assistant to support day-to-day client operations. This role is critical in maintaining a professional client experience by managing communications, coordinating scheduling, and overseeing billing and payment workflows. The ideal candidate is proactive, responsive, and comfortable working in a fast-paced environment involving sensitive financial and divorce-related matters.
Key Responsibilities:
Client Communication Management
Monitor and manage firm email inboxes
Respond to routine client inquiries in a professional and timely manner
Route substantive or technical inquiries to the appropriate team member
Maintain organized email threads and ensure follow-ups are completed
Assist in onboarding new clients by sending intake instructions and document requests
Scheduling & Calendar Coordination
Manage calendar for consultations, client meetings, and internal calls
Coordinate scheduling using tools such as Calendly and Outlook
Confirm appointments, send reminders, and ensure all parties are prepared
Reschedule meetings as needed and manage scheduling conflicts
Track key deadlines and ensure timely follow-up on outstanding items
Billing & Payment Administration
Generate and send invoices (e.g., retainers and ongoing billing)
Monitor incoming payments and track outstanding balances
Follow up with clients regarding unpaid invoices in a professional manner
Coordinate with internal systems (e.g., Harvest or other billing platforms)
Maintain accurate records of client billing and payment status
Client File & Workflow Support
Assist with document intake and organization (via Box or similar platforms)
Ensure client files are properly named, categorized, and stored
Support internal workflow processes related to new engagements
Maintain client status tracking (active, pending, completed)
Qualifications:
Prior administrative or executive assistant experience (professional services preferred)
Strong written and verbal communication skills
High level of organization and attention to detail
Ability to handle confidential and sensitive information with discretion
Proficiency with Microsoft Outlook, Excel, and scheduling tools (Calendly preferred)
Experience with billing systems (Harvest or similar) is a plus
Familiarity with document management systems (e.g., Box, Google Drive) is a plus
